We are seeking a dynamic and energetic Event Coordinator to lead the planning, organization, and execution of a diverse range of events. Responsibilities
• Oversee timelines and coordinate and execute event logistics, including AV setup and post-event evaluations for:
· Fall Gathering BBQ
· Exhibit opening receptions
· Western Art Show and Sale
· Annual Review
· Volunteer Lunches
• Negotiate contracts with vendors such as caterers and entertainment providers
• Maintain inventory of all event supplies
• Stock bar with supplies for events
• Consult with Curator regarding exhibit openings and signage
• Schedule and promote museum rentals.
• Work with team members to coordinate and organize the annual review
• Maintain clear communication with vendors and team members throughout the planning process
• Interview new volunteers for events
• Plan and execute volunteer outreach for events
• Ensure volunteer requirements for events are met
• Maintain event volunteer database in Past Perfect
• Provide exceptional customer service to create a welcoming atmosphere for members and guests
• Utilize superior time management skills to handle multiple projects simultaneously under tight deadlines
• Update events in the Media & Marketing calendar
• Employ organizational skills that ensure all details are meticulously coordinated from start to finish
• Manage development, distribution and maintenance of event registrations and calendars
